You have probably seen details about the new legislation for protection of personal data (GDPR)  & wondered how it will affect record keeping in Scouting. We are still waiting for final guidance from the Scout Association but feel that everyone needs to be aware of what you can & cannot do under the new rules.

We have a training module already arranged for Administration & this will include GDPR & you are very welcome to join us for it.

The module will be run on Saturday 2nd June at Phasels between 09.30 & 11.15. This is the weekend at the end of the Bank Holiday

The last five years have seen consistent growth in membership across the district and an ever-increasing range of activities being offered to young people.

By virtue of the fact that you are a leader or parent you are eligible to stand as (or nominate someone to stand) a member of the District Scout Executive Committee. For the coming year, we are particularly keen to hear from people with skills, experience or an interest in the following area(s):

  • District Sections (6-25) – ensuring that funds are best-used to support the 6-25 programme
  • Finance & Fundraising – to include scrutiny of applications to the “Adventure” & “International” funds
  • Minibus – to support the minibus committee and report on the maintenance and finances
  • Property & Equipment – to ensure equipment and buildings are well-managed, financed and insured
  • Public Relations/Development – to lead on our external promotional activities and recruitment
  • Scout Shop – to support the Scout Shop manager and report on the finances and operations

We are looking to elect four Executive Committee Members to serve for a year until May 2019 in addition to four people nominated by our District Commissioner – ideally responsibility for each area above will be shared by two or three people on the committee.

All members of the District Executive become Charity Trustees and meet to support the District Commissioner and Scout Groups, promote the development of safe scouting, raise funds and administer the District’s finances, appoint sub-committees where required and attend to the District’s own administration.

The Executive meets approximately 6 times a year.  It is not a uniformed role and you need no previous experience.  In line with the National Association’s aims we do seek for some nominees to represent the young people in our movement and therefore particularly welcome nominations of adults aged between 18 and 25.

This letter is to invite you to stand for election yourself or to nominate another member of the Council (with their agreement) that you believe will add value to the District and carry out the role above effectively.  The election happens at the Annual General Meeting which will be on Thursday 24th May.

Please find attached details for the 2018 Caving Badge Course weekends.  Scouts and Explorers (and leaders!) can book onto these courses individually, and do not need to be accompanied by their own leaders. 

Transport is provided from Essex/Herts to and from the course, which is in Somerset.  Bookings should be completed and returned to the address on the form.

Here are the final details for Monday evening’s Activity Evening & Promise Renewal event at Phasels Wood… It’s going to be a very busy but enjoyable evening with over 450 youngsters taking part in total!

Bringing extra children on the night
If you wish to bring anyone else on the night, we CAN accept cash payment on the night (£5 for Scouts and £10 for friends)… no need to pre-book… we’d particularly like to welcome your child(ren)’s friends to come along with them, so why not ask around?

Hi Folks,

Sorry it has taken ages to get these out anyway I am sure your troop will be interested in their final overall placings (attached).

Don’t forget to count it as badge work…

It was the biggest District Scout event with 120 entries!

Please find notes for leaders attached for the Promise Renewal event on Monday 23rd April, as well as letters to give out next week following the half term holidays.

  • 30th March – deadline for replies/money back to Maureen
  • 13th April – info emailed out to parents (copied to leaders)

I will be emailing separately about rounding up helpers for the various activities (alongside staff from Phasels Wood) and the opportunity for a half-day training enabling adults to run quite a few of the activities at Phasels Wood.

Looking forward to a great event – it would be excellent to have a large turnout to renew our promises together.

The capacity for the activity is 15 Scouts. Bookings will open at 6pm on 23rd February on a first-come-first-served basis, via the district website:


Priority will be given to those who have not attended the activity previousl. Anyone who has attended before may join a waiting list to fill any spare places on a first come first served basis by emailing their name to Pete West on peteandsue8@virginmedia.com

Power Coxswain Badge Day flyer for YP

Following the District Executive’s decision to take on a paid administrator to support various functions within the district to improve our “behind the scenes” activity, I’m delighted to announce that Hannah Mansfield has been appointed to the role of District Administrator.

Hannah does not have Scouting experience but is a very competent administrator and is already proving to be a quick learner. Please bear with her whilst she gets her head around our structure and terminology!

Hannah’s first task is to update and distribute the district directory, which she will be contact GSLs about over the coming days. Beyond that, Hannah will be supporting the District Team and Executive with the following tasks:

  • Contacting group’s termly to confirm space for new members, subscriptions and who enquiries should be sent to (Simon will still handle the enquiries themselves)
  • Collating information about dates for Scouts to move to Explorers, allowing Maureen Shelley to more effectively plan the link events.
  • Ensure the planning for district events/activities is on track and supporting organisers to ensure that letters are produced in good time, published to the website and sent out by paper/email as appropriate.
  • Supporting event organisers by contacting venues/transport companies etc for quotes when necessary.
  • Regularly update our email and SMS software with data from Compass to ensure communications are always being sent to the right people.
  • Sending out promotional material for the Scout Shop each term to encourage parents to buy from us, allowing us to re-invest the profits locally and as a result, keep the district levy down.
  • Maintaining the diary of hall bookings for Warners End and Boxmoor HQs.
  • Other reasonable tasks as requested.

If there’s anything Hannah can do to support your Scout Group, please do contact me, as there is flexibility for her to take on additional tasks on behalf of Scout Groups too.
